SUBMISSION GUIDELINES

In order to access the paper submission system, you must first register.
Before submitting a paper, please carefully review the instructions on the registration page and the paper writing rules.
Users who have previously registered for different conferences via congress.gen.tr will receive a warning that they are already registered in the system. In such cases, you can add your registration to the system by requesting a password reset. Please fill in the information in the user registration section; if you are already registered, please update your profile information.

Oral Presentation and Poster Writing Rules

  • Abstracts will be submitted via the Submit a Paper link.
  • The abstract should include the purpose of the study, the methodology used, the findings and conclusions (for completed studies).
  • Abstracts to be presented at the congress should be between 250 and 600 words.
  • The references used in the abstract should be specified in accordance with the word limit.
  • A structured abstract of fewer than 600 words is required for all original contributions, and should be arranged, in one paragraph, under the following headings: PURPOSE, METHODS, RESULTS, CONCLUSIONS. Review articles also require an abstract, which need not be organized under these headings. No references should be included in the abstract.
  • At least 3 and at most 5 keywords should be included.
  • When submitting your work, do not forget to choose the type and subject area of the study correctly. Choosing the right subject area is of great importance in terms of directing your work to the appropriate referees and assigning it to the appropriate sessions in the program.
  • The corrections of the accepted papers will be made by the author(s) and the congress committees will not make any corrections in the corrected versions. Authors are responsible for spelling and semantic errors.

Workshop and Panel Abstract Submission Rules

Workshop and Panel Abstracts should be between 250 and 600 words. These abstracts aim to provide in-depth information sharing and experience transfer to the participants by addressing the most recent developments and scientific research in the relevant field. 

The following sub-headings should also be included under the panel summary: The target group of the panel, the names and specialties of the speakers, the name and specialty of the moderator, and the time required for the panel.
The workshop summary should also include sub-headings: Speakers who will present at the workshop and their presentation contents, the number of people who can be admitted to the workshop and the participant profile, the duration of the workshop/workshop, the technical equipment required for the workshop/workshop (projection devices, sound system, etc.), the materials required from the participants and time planning.

  • Workshop and Panel presentations should be planned for a maximum of 60 minutes.
  • At least 3, maximum 5 keywords associated with the activity should be specified.
  • Abstracts should be submitted via the Submit a Paper link. Participants should specify the type of activity as Workshop or Panel.

Regarding Oral Presentations During the Congress:

  • In oral presentations, authors present abbreviated versions of their work, followed by questions and comments from the audience and the session chair.
  • The presentation files prepared for oral presentations will be received by the technical team at the technology desk in the conference registration hall and then organized for transmission to the session halls.
  • Authors are expected to prepare their oral presentations in .pptx or .pdf formats.
  • Four or five papers will be presented in each session.
  • Each presentation will be given 15 minutes, 10 minutes for presentation and 5 minutes for question and answer.

Regarding Poster Presentations During the Congress:

  • There will be no printed poster exhibition area for poster presentations.  Participants will present their poster on the electronic boards reserved for them within the specified hours. Poster holders will be present at their posters at the times and times specified in the program and will provide information about their work.
  • Poster presentation files will be received by the technical team at the technology desk in the conference registration hall and then will be organized to be transferred to the prepared electronic boards.
  • Posters should include title, author names and addresses, introduction and purpose of the research, methodology, findings and discussion, and results.
  • In poster presentations, the title should clearly express the main idea of the poster. Visual hierarchy should be used to organize the information and there should be an appropriate balance between the title, subtitle, main text and images. A simple, legible font should be chosen and high quality, clear and meaningful images should be used. Posters can be enriched with modern elements such as QR codes, interactive graphics or links. Posters are available in PDF format and Digital board working dimensions are height: 1920 Width: 1080 pixels: 1080 pixels.
  • In the poster sessions, graphical representations of the works will be displayed on the electronic boards determined by the Congress Organizing Committee during the 90-minute session and the poster owners will answer the questions during this period.

Congress Reviewer Evaluation Process

IBES 2025 is a reviewed congress. All submissions will be evaluated by referees using the template below.

Assessment criteria
All IBES 2025 submissions will be evaluated based on an independent review by two separate reviewers. Taking into account the abstracts, the reviewers will be asked to score the quality of the work in relation to each criterion according to the following scoring levels (maximum 50 points):
5 - Very Good
4 - Good
3 - Acceptable
2 - Poor, needs improvement
1 - Very Poor, significant weaknesses or missing information

When both reviewers evaluate the submission according to the criteria (at least acceptable for all criteria), the proposal will be accepted directly. If both reviewers give poor or very poor scores, the paper will be automatically rejected. The organizing committee will make the final decision on whether changes need to be made. In some cases, it may be proposed to convert an abstract submission into a poster or workshop presentation.
